POSITION:
Personal Assistant/Executive Assistant to the Owner
Location:
Stumpers Resort and Events, Badian, Cebu
Reports to:
Owner, CEO
As a personal assistant to the owner of a beach/resort, your roles and responsibilities may vary depending on the specific needs and preferences of the owner. However, some common duties and expectations might include:
1. Calendar Management:
Schedule appointments, meetings, and events for the executive.
Coordinate travel arrangements, including flights, accommodations, and transportation.
Anticipate scheduling conflicts and proactively resolve them.
2. Communication:
Act as a liaison between the executive and internal/external parties.
Manage emails, phone calls, and other correspondence on behalf of the executive.
Draft and proofread emails, reports, presentations, and other documents.
3. Administrative Support:
Handle administrative tasks such as filing, organizing documents, and maintaining records.
Prepare expense reports and manage reimbursements.
Conduct research and compile information as needed.
4. Meeting Support:
Prepare meeting agendas, materials, and presentations.
Attend meetings, take minutes, and distribute them to relevant parties.
Follow up on action items and ensure deadlines are met.
5. Project Coordination:
Assist in managing projects by tracking progress, deadlines, and deliverables.
Coordinate with team members and stakeholders to ensure smooth execution.
Provide updates and reports on project status to the executive.
6. Confidentiality:
Handle sensitive information with discretion and maintain confidentiality.
Uphold privacy and security protocols when dealing with confidential matters.
7. Problem Solving:
Anticipate challenges and proactively find solutions.
Handle unexpected issues efficiently and effectively.
8. Prioritization:
Help the executive prioritize tasks and manage their workload.
Identify urgent matters and address them promptly.
9. Relationship Management:
Build and maintain positive relationships with colleagues, clients, and other stakeholders.
Represent the executive professionally in various interactions.
10. Miscellaneous Tasks:
Perform ad-hoc tasks and special projects as assigned by the executive.
Adapt to changing priorities and work in a fast-paced environment.
Requirements:
Previous experience as a personal assistant or executive assistant is preferred.
Excellent organizational and time management skills.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office and other relevant software.
Ability to multitask and prioritize tasks effectively.
Discretion and confidentiality in handling sensitive information.
Flexibility and adaptability to changing priorities and schedules.
